1. Introduction

Daimler Truck Middle East Africa (“DT MEA”, “we”, “us” or “our”) appreciates your interest in pursuing a career with us. We are committed to protecting the privacy and confidentiality of personal data submitted as part of our recruitment and selection processes.

This Recruitment Privacy Policy (“Policy”) explains how DT MEA collects, uses, stores, transfers and protects personal data of individuals who apply for roles with DT MEA or otherwise participate in our recruitment activities, in accordance with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (“PDPL”).

This Policy applies solely to personal data processed in the context of recruitment and does not govern the processing of employee data after the commencement of employment.

3. Scope – Who Is Covered by This Policy

This Policy applies to the personal data of:

  • Job applicants and prospective applicants
  • Candidates applying for permanent, fixed-term or temporary roles
  • Candidates submitted by recruitment agencies
  • Interns, trainees and secondees (where applicable)
  • Individuals participating in interviews, assessments or background checks
  • Referees whose details are provided by candidates

4. Purposes of Processing

We process personal data for the following recruitment-related purposes:

  • Managing and administering job applications through our recruitment system
  • Assessing qualifications, experience and suitability for open positions
  • Conducting interviews, assessments and selection activities
  • Communicating with candidates regarding their application status
  • Conducting reference checks and background or compliance screening (where applicable)
  • Issuing conditional offers of employment and undertaking pre-employment steps
  • Meeting legal, regulatory and compliance obligations (including immigration and visa requirements)
  • Improving and analysing our recruitment processes (in aggregated or anonymised form)

5. Legal Basis for Processing (UAE PDPL)

DT MEA processes personal data on one or more of the following legal bases under the UAE PDPL:

  • Necessity for recruitment and pre-contractual measures, including evaluating applications and making hiring decisions
  • Your consent, where required, particularly for:
    • Reference checks
    • Criminal record or sanctions screening
    • Medical or health-related information (if applicable)
  • Compliance with legal obligations, such as immigration, labour or regulatory requirements
  • Legitimate interests, including ensuring the integrity, security and compliance of our recruitment process, provided such interests do not override your rights

Where processing is based on consent, you may withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out prior to withdrawal.

6. Categories of Personal Data We Process

Depending on the role and stage of the recruitment process, we may process the following categories of personal data:

  • Identification and contact details (e.g. name, address, email, phone number, nationality)
  • Application materials (CV, cover letter, certificates, qualifications, employment history)
  • Interview notes, assessments and evaluation records
  • Salary expectations, availability and role preferences
  • Information obtained from referees or recruitment agencies
  • Information from publicly available professional sources (e.g. LinkedIn), where relevant
  • Background screening results, where legally permitted and applicable
  • System-generated data related to the use of the recruitment system (e.g. login data, timestamps)

We do not intentionally collect personal data that is excessive or irrelevant for recruitment purposes.

7. Sources of Personal Data

Personal data is collected:

  • Directly from you when you apply via the recruitment system or otherwise submit an application
  • From recruitment agencies acting on your behalf
  • From referees you have provided
  • From publicly available professional sources, where relevant and lawful
  • From third-party service providers conducting background checks, where applicable

8. Background Checks and Compliance Screening

For certain positions, DT MEA may conduct background or compliance checks, which may include:

  • Identity and employment verification
  • Education and qualification verification
  • Sanctions, adverse media or integrity screening, where legally required or justified

Such checks are:

  • Conducted only at appropriate stages (e.g. shortlist or offer stage)
  • Proportionate to the role
  • Not used as the sole basis for automated decision-making

Any offer of employment may be conditional upon satisfactory completion of such checks.

9. Data Recipients

Your personal data may be accessed or processed by:

  • DT MEA Human Resources and hiring managers on a need-to-know basis
  • Daimler Truck Group shared services functions (e.g. HR, IT, Compliance)
  • Recruitment system providers
  • Third-party service providers supporting recruitment activities (e.g. background check providers), under appropriate confidentiality obligations
  • Government or regulatory authorities, where required by law (e.g. immigration authorities)

We do not sell or trade personal data.

10. International Data Transfers

As part of a global organisation, DT MEA may transfer personal data to other Daimler Truck Group entities or service providers located outside the UAE.

Such transfers are carried out:

  • Solely for recruitment-related purposes
  • Subject to appropriate technical and organisational safeguards to protect personal data in accordance with applicable law

11. Data Retention

We retain personal data only for as long as necessary for the purposes described in this Policy:

  • Active applications: for the duration of the recruitment process
  • Unsuccessful applications: up to 6 months after completion of the recruitment process
  • Talent pool (where you opt in): up to 12 months, unless you withdraw consent earlier
  • Where required, data may be retained longer to comply with legal obligations or to establish, exercise or defend legal claims

After expiry of the applicable retention period, personal data is securely deleted or anonymised.

12. Your Rights

Subject to applicable law, you have the right to:

  • Request access to your personal data
  • Request correction of inaccurate or incomplete data
  • Request deletion or restriction of processing, where applicable
  • Withdraw consent at any time (where processing is based on consent)

13. Data Security

DT MEA implements appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or disclosure. Access to personal data is restricted to authorised individuals only.

While we take reasonable steps to protect personal data, no system can be guaranteed to be completely secure.

14. Changes to This Policy

We may update this Policy from time to time to reflect changes in our recruitment practices or legal requirements. The latest version will always be made available to candidates during the application process.

15. Acknowledgement

By submitting an application to DT MEA, you acknowledge that you have read and understood this Recruitment Privacy Policy and that your personal data will be processed in accordance with its terms.

16. Access to and Correction of Personal Data

If you wish to make (a) an access request for a copy of the personal data we hold about you, or information about how we use or disclose your personal data, or (b) a correction request to update any of your personal data,
